Sourcing from China with a clear product brief

A product name and an initial unit price are not enough for a commercial purchase. Model, assessable quality, quantity, packaging and delivery scope need to form one shared brief. Vira Trade evaluates sourcing from China for digital products, electronics and technology equipment according to each order.

Define the product before comparing prices

For laptops, tablets and networking equipment, a single specification can change the purchasing outcome. Record the reference model, hardware version, capacity, connectivity, accessories and expected condition. If alternatives are acceptable, distinguish fixed requirements from features that may change.

For private packaging or branding, agree label artwork, instruction language, carton information and sample acceptance criteria before ordering. Asking suppliers to quote against the same definition makes their offers comparable.

Connect the sample to the production order

Keep a record of the sample model, version, photographs, assessment and agreed changes. A verbal promise of similar quality is not a replacement for written acceptance criteria.

Check core functions, accessory compatibility, physical condition and packaging against the intended use. For networking equipment, consider port count, power requirements and compatibility with the destination network. The assessment should suit the order's sensitivity and value.

Separate minimum quantity, production and available stock

One quotation may refer to ready stock; another may require production or consolidation. Ask separately about minimum quantity, units per carton, preparation time and phased delivery. Identify sample and custom packaging costs in the same quotation.

A purchasing plan also needs time for sample review and order approval. The requested date is an input for assessment. Final delivery arrangements depend on the specific order and the agreement between the parties.

Compare quotations on a shared basis

Read unit price alongside quantity, exact specifications, packaging, accessories, delivery point, payment conditions and quote validity. Offers that cover different costs cannot be compared simply by their headline amount.

Assess transport and related costs using actual package weight and dimensions. Record unspecified items as open questions. Requesting a corrected written quotation helps prevent different interpretations later.

Prepare a useful first enquiry

Provide reference models or images, mandatory specifications, approximate quantities, the required date and delivery destination. If you already have a sample or a quotation, identify the parts still needing evaluation.
